Petty Cash

The Petty Cash screen shows a financial summary for the selected period: customer receipts and expense payments, with totals broken down by payment method.

What's included

  • Receipts are the customer payments recorded on the Accounts screen (Accounts Receivable side).
  • Expenses are the day-to-day operational expenses recorded on the Expenses screen.

Supplier payments are not petty-cash expenses

Payments made to suppliers (Accounts Payable) do not appear on this screen. Only operational expenses recorded on the Expenses screen count as petty-cash expenses.

How to open

  • Menu: Financials → Petty Cash
  • Keyboard shortcut: Ctrl+Shift+P

Screen layout

The screen is divided into three side-by-side panels:

  • Receipts (left) — customer payments received in the period.
  • Receipts by Method (centre) — subtotals grouped by payment method, followed by the overall summary (Gross Receipts / Payments / Net Receipts).
  • Payments (right) — expenses paid in the period.

Toolbar controls

Control Description
From / To Date range for the query. Defaults to today.
User Filter by a specific user or view all. The user list depends on the current store. Only available to users with the petty_cash:all_users permission.
Search Runs the query with the current parameters.

User filter and till-only expenses

When a specific user is selected, the Expenses table shows only that user's own-till entries — i.e. expenses with Source = From Till. Selecting all users shows all sources.

Payment method filters

Each panel has a method selector populated from the results. Choosing a method hides the other rows and updates the visible total below the panel. The total label shows the selected method name, or ALL when no filter is active.

Discounts

Discount rows are shown with strikethrough text and are excluded from the gross receipts total — unless the DISCOUNT filter is active, in which case only discounts are summed.

Summary panel

The centre summary panel shows complete totals for the current query:

Row Description
Gross Receipts Total receipts, excluding discounts.
Payments Total expenses for the period.
Net Receipts Gross Receipts minus Payments.

Summary values update only when a new search is run, not when method filters change.

Fields — Receipts

Field Description
User User who recorded the receipt.
Date/Time Date and time the payment was received.
Client Client name.
Order No. Associated order number, if any.
Method Payment method (e.g. CASH, CHEQUE, PIX).
Amount Amount received.
Observations Additional notes about the receipt.

Fields — Payments

Field Description
User User who recorded the expense.
Date/Time Date the expense was paid.
Source Payment origin: From Till or Other.
Category Expense category and subcategories.
Description Notes about the expense.
Method Payment method used.
Amount Expense amount.
